Terms of condition and data privacy policy AIC 2024

The following conditions apply between the participants of the Alternative Investor Conference (AIC) and the Bundesverband Alternative Investments e.V. (BAI) as organizer. (BAI) as the organizer. Please read them carefully as they are important information in connection with the AIC. By registering for AIC, you automatically agree to the terms and conditions. If you do not agree with the terms and conditions, we will not be able to accept your registration. 


1. participation fee
The participation fee for the two-day conference includes lunch, snacks, drinks, access to the evening event if applicable (depending on ticket category) and access to the MEA event app. Participation in investor dinner and workshop is not included**.
You will receive a confirmation and an invoice upon receipt of your registration. BAI reserves the right to reject registrations. The participation fee is due 10 days after receipt of the invoice, without deduction. Participation can only be granted if your payment is received by the BAI on time. If you transfer the invoice amount later than five bank working days before the start of the event, please send a copy of the payment receipt to events@bvai.de no later than the 1st day of the event.

If you have registered in the wrong category, your registration will automatically be converted into a registration in the correct contingent. We will inform you of this in the confirmation so that you can immediately object to the registration, for example due to a higher fee. If you register for a contingent that is already fully booked, the registration will automatically be converted into a paid registration. We will inform you of this in the confirmation so that you can immediately object to the registration due to the fee.


2. cancellation
If you are unable to attend the event, a substitute participant can be provided at any time. Please inform us of his/her name as soon as possible. The ticket is not divisible. Cancellations made until Macrh 1, 2024, are free of costst. For cancellations made between March 2 and April 3, 2024, we will charge a processing fee of 200 euros. Cancellation must be made in writing (letter, fax or e-mail). The basis for the calculation of a cancellation is the date of receipt of notification by the organizer. For cancellations received by the BAI after this date, the full invoice amount will remain with the organizer without deduction. In the event of cancellation by the organizer, the fee paid will be refunded in full; further claims are excluded.


3. changes in the conference program
The organizer reserves the right to make changes to the content, time and location of the program for good cause. We assume no liability for printing errors. The place of performance for all claims is the organizer's headquarters (Bonn).


4. passing on of data to sponsors
Two weeks prior to the conference, our sponsors will receive a list of participants containing the following information about all AIC 2024 participants: Last name, first name, company. This list does not contain any other information.  


5. photo documentation
We will take photographs on the day of the event for marketing purposes and media partner and press reporting. If you do not agree with this, please send us an email to events@bvai.de before the event starts. Unauthorized photography and/or recording/transmission of audio or visual material, data or information during the conference is expressly prohibited (see also § 201 StGB). 


6 Use of the event app
6.1 You are responsible for the necessary technical equipment to use the event app MEA.
6.2 We do not guarantee that the event app will function continuously, securely, or without errors or interruptions, and we assume no liability for temporary unavailability. We do not warrant that the Event App and/or any content on it (including, without limitation, any content available for download) is free of viruses, Trojan horses and/or other code that manifest contaminating or destructive properties.
6.3 You shall not in any way attempt to interfere with the proper working of the Event App.
6.4 You agree to accept any terms and conditions and privacy policy of the Event App.

6.5 We do not endorse or accept any responsibility for the content or use of any goods or services identified or described on the Event App and we will not be liable for any loss or damage caused or alleged to be caused by or in connection with the use of or reliance on any content, goods or services available on or through the Event App or any website or other resource linked therein.
6.6 You will receive access data for the event app from us. These are to be treated confidentially and not to be passed on or sold to third parties without our consent. These are personal access data. You hereby agree that you will not allow any third party to access their access data and remain liable for the actions of any person using their access data.
6.7 Any postings, messages or other materials, information or data you provide or upload to the Event App shall be deemed to be non-confidential and your own responsibility. You may not knowingly submit or upload data that contains viruses, Trojan horses, or other code with contaminating or destructive properties. We reserve the right, in our sole discretion, to edit or remove any postings to message boards on the Event App and to delete or block or filter any materials using electronic methods, but we have no obligation to do so.
6.8 You may not make defamatory postings, illegal postings, or postings that infringe the intellectual property rights of others. The BAI is not responsible for monitoring or complying with any laws.
6.9 When using the chat functions, please also ensure that you only post in such a way that an accidental posting cannot cause damage to you or your company. 


7 Consequences in case of infringement
The BAI may (in its sole discretion) deny access to the Event App to any person who fails to comply with these Terms or who, in the BAI's opinion, poses a security risk. You agree to comply with the reasonable instructions of the BAI or the Event App Operator during the Event.


8. data protection
8.1 If you wish to participate in BAI AIC 2023, we will collect, process and use the following data:
Mandatory data: Salutation, first name, last name, position/department, company, street, house number, postal code, city, telephone number, e-mail address. Your data will be collected, processed and used by the BAI for the purposes of registration processing and will also be forwarded in this context to third parties who are commissioned in the context of the event implementation and are obliged to comply with the DSGVO, in particular the technical-organizational measures pursuant to Art. 32 DSGVO. 
You hereby agree that your personal registration data (surname, first name, company) will be published in the event app as well as in the list of participants. You can voluntarily enter further details on the platform, which will then also be published. You can revoke this consent at any time.
8.2 By registering for AIC 2023, participants are given the opportunity to contact other participants also via the event app. Registered participants of AIC 2024 who are logged in can send contact and appointment requests to other participants. 
We hereby again refer to the GTC and data protection provisions of MEA (see item 6.4).
8.3 In all other respects, our data protection provisions apply.
